• Core executive assistant to the Chief Executive Officer and Fiddler leadership team • Managing internal calendars, supporting ad-hoc projects • Assist in coordinating company-wide & leadership meetings • As needed, coordinate a high volume of meetings with candidates, hiring teams, and the leadership team • Oversee the day-to-day operations of our Palo Alto office, assist in developing the future office strategy, as well as implementing office policies to maintain an efficient workspace • Manage relationships, contracts, etc. with local vendors, contractors, property managers, and local authorities • Lead, organize & communicate company-wide events, happy hours, offsites, & team-building activities, and coordinate travel & expenses for remote employees • Manage company swag, employee gifts, employee birthdays & anniversaries, etc • Check & scan mail, manage snack/drink deliveries & refills • Manage daily lunch ordering (lunch is provided daily for all in-office employees) • Greet and assist candidates who come into the office for interviews with a warm and positive attitude • Assist with pre-boarding employee logistics (mailing laptops & swag to new hires) • Assist with onboarding new hire software setup & access management (Google, Slack, etc.) • Assist with offboarding employees (deactivating software) • Manage additional HR operations functions
• 4+ years of experience as executive assistant, office manager • Bachelor’s degree in business administration or a related field preferred • Previous facilities or Office Management, Executive Assistant & onboarding experience, and additional People Operations experience is a plus • Strong ability to prioritize, while maintaining flexibility and agility in a fast-paced environment with changing demands • Organized, detail-oriented, and proactive with a “no job too small” mentality • Culture creator, who can help connect the team when in and out of the office • Self-starter with a “can-do” attitude, who can execute with minimal training • Strong interpersonal skills, with the ability to work with various people and teams • Excellent time management skills with the ability to multi-task, prioritize work, and manage projects • Experience (or fast to learn) with G Suite products, Asana & Docusign
